Job Title : Office Assistant Gross salary : Ug.Sh 1,085,175/= Department : Human Resource & Administration Reports to : Human Resource & Administration Manager Key working relationships : All staff Main purpose of the job To provide a wide range of office support activities to facilitate efficient operation of the organization. Key Result Areas Stores Management • Raise stores requisitions for items to be purchased. • Check goods received against delivery note and purchase requisition form c) Check whether the goods delivered are in in good condition • Prepare a goods received note and send it with the supplier’s delivery note and purchase requisition to • Finance department for processing • Record accurately all goods received stating date of delivery and value of items delivered f) Issue items from the store and ensure recipient confirms items received through signing. • Conduct monthly stock taking and submit reports to Human Resource & Administration Manager. Ensure that the store is clean and tidy at all times. • Dispatching deliveries to the field offices Front Office Management • Receive and transfer calls to intended recipient. • Receive, welcome and direct visitors to appropriate offices. c) Receive and dispatch mails and correspondences • Taking and ensuring that messages are passed to the appropriate staff on a timely basis • Administration and Housekeeping • Schedule meetings and organize all meeting venues • Ensure effective maintenance of office equipment e.g photocopier fax machine office phones and furniture Supervise daily and general cleaning of the office. • Handling event coordination, both internally and externally. • Managing general maintenance of office household equipment including dispenser, fridge cooker. Performing ad-hoc administration duties. Person Specification and Qualification • A Degree in Secretarial or a related field. • Training in stores management is added advantage. • At least two years’ work experience in a similar or related role. • Experience working in an NGO is added advantage.
